Getting started
Can I look around without signing up?
Yes. Every “Start free” button opens a real, empty workspace with no account and no card. Add a subcontractor, upload a certificate, see what happens. It erases itself after 7 days unless you sign up and keep it. The demo page’s sandbox is different: pre-filled with invented subs, and it lasts 24 hours.
How long before this is actually running?
One afternoon is realistic: set your limits once, add your subcontractors, then send everyone a link.
I already track this in a spreadsheet. Can I bring it over?
Yes — a CSV or an Excel file, with a preview before anything is written.
Does it connect to QuickBooks or my project software?
No. There are no integrations and no public API. Your subcontractors come in from a CSV or an Excel file, and your records come back out as files you can open in a spreadsheet — so it sits beside what you already run rather than replacing any of it.
What it actually does
What does it check on a certificate?
Your limits, your expiry dates, and the endorsements you require — measured against a requirement set you write once. A separate set can override it on a stricter job.
How does it read the document?
It renders the page and reads the ACORD 25 box by box, scoring every field it extracts. Anything it is unsure about lands in your review queue rather than going through it, with the least-confident values at the top of that document.
Does it verify the endorsements themselves?
No. It reads the two narrow Y/N columns on the certificate, which is what the certificate offers. A tick in that column is not the endorsement, so where it matters you still ask the issuing agent for the form.
Does it check the certificate actually names my company?
Only if you tell it your legal name. Enter it in Settings and Sealinn compares the certificate holder and additional-insured lines against it, sending anything that does not match to a person instead of approving it. Leave it blank and reading that name stays your job.
What happens on the day a policy actually expires?
Reminders run before the date, on the days you pick. Once it passes, that certificate stops counting toward the subcontractor's status, which recalculates overnight. What keeps chasing after that is escalation, and it fires on silence rather than on a date.
Your subcontractors
Will my subcontractors actually use it?
There is nothing for them to use. They get a link, open it on a phone, and send the file. No account, no password, no app.
One of my subs has no idea what I am asking for.
Most of the time the answer is that their insurance agent has it and they do not. There is a page you can send them, and a message they can forward.
My sub says he is exempt from workers’ comp.
Sometimes that is true and sometimes it is a problem you inherit at audit. It depends on the state and on whether he has employees.
Pricing and billing
Is this worth paying for at my size?
Free covers 10 subcontractors, which is enough to run one real project through it before deciding. The comparison that matters is against the spreadsheet you already have, not against nothing.
Who on my team needs a login?
Whoever reviews certificates or sets the rules. Free includes 1 seat, Starter 2, Growth 5, and Professional 15 — and your subcontractors never need one, they upload from a link. Roles are separate, so an office manager can work the review queue without changing your requirements.
What are the plans?
Four sizes of one product. You are paying for capacity — subcontractors and seats — not for features held back.
Security and your data
Who can see my subcontractors’ documents?
Only your workspace, and only the people you have given a seat. The separation is enforced by the database itself rather than by a filter the application has to remember to apply.
Do you send our documents to an AI provider?
Yes — certificates go to OpenAI to be read. They are not used to train anyone’s model, and OpenAI deletes its copy after 30 days. Zero-retention is available from them but we have not been approved for it, so we do not claim it.
Can I get everything back out?
You can download your certificates as a zip, organized by subcontractor, and export the full audit log as PDF, Excel or CSV — at any time, including after you cancel.
Leaving
How do I delete the workspace entirely?
From Settings, and it is genuinely deleted — documents and records, not just hidden. There is a 30-day window first, because a mis-click on that button should be survivable.
How long do you keep things I have already removed?
A rejected document sits recoverable for a few days and is then erased. Reports go sooner. Every window is written down with the number, not described as “a reasonable period”.
